MandoKids Learning Centre Policies

Please note that by enrolling your child(ren) in MandoKids classes, you are agreeing to the following terms and conditions. 

Absence & Make-Up Policy

At MandoKids Learning Centre, we understand that unforeseen circumstances may arise. To support families while maintaining program consistency, the following absence and make-up policies apply:

  • Make-up class credits may be issued for missed classes with a minimum of 24 hours’ advance notice.

  • A maximum of two (2) class credits per full-term program may be issued.

  • Credits may only be applied toward future full-program registrations and cannot be used for drop-in classes or camps.

  • No credits will be issued without 24 hours’ notice, including no-shows.

  • Credits are non-transferable, non-refundable, and cannot be exchanged for cash.

  • Credits have no cash value and may expire at the end of the academic year unless otherwise stated.

VIP Packages: VIP Packages follow the same Absence & Make-Up Policy as standard program registrations. No additional make-up classes, refunds, or exceptions apply unless explicitly stated in writing.

Class Cancellation & Withdrawal Policy

Full Program Registrations

  • Withdrawals must be submitted at least 24 hours before the start of the second class.

  • After this point, fees become non-refundable.

  • If approved, a prorated refund or credit may be issued based on the number of remaining classes, less any applicable administrative or cancellation fees.

  • Missed classes due to late enrollment or personal scheduling conflicts are not eligible for refunds.

  • Refunds or credits may be considered in the event of a medical emergency, with written documentation from a licensed healthcare provider. A $35 cancellation fee per person, per transaction will apply.

VIP Packages: VIP Packages follow the same Class Cancellation & Withdrawal Policy as full program registrations.

Private & Semi-Private Lessons

  • Cancellations made with at least 24 hours’ advance notice are eligible for a full credit.

  • No credit or refund will be issued for no-shows or late cancellations.

  • Repeated last-minute cancellations may result in loss of future booking privileges.

VIP Packages: VIP Packages follow the same cancellation policy as Private & Semi-Private lessons, unless otherwise specified in the package agreement.

Camp Cancellation & Refund Policy

  • 31+ days before camp start: Full refund.

  • 10–30 days before camp start: No refund; eligible for a credit minus a $35 cancellation fee per camp.

  • 9 days or fewer before camp start: No refund or credit; 100% forfeiture of camp fees.

Changes & Modifications

  • MandoKids reserves the right to cancel, combine, or modify camp programs due to low enrollment or unforeseen circumstances.

  • In such cases, families will receive a full refund or credit.

Medical Exceptions

  • Refunds or credits may be considered in the event of a medical emergency, with written documentation from a licensed healthcare provider.

  • A $35 cancellation fee per camp will apply.

VIP Packages: VIP Camp Packages are subject to the same Camp Cancellation & Refund Policy unless otherwise stated in writing.

Late Pick-Up Policy

  • Children must be picked up promptly at the end of their scheduled class or program.

  • A late pick-up fee may apply for families who are consistently late.

  • Repeated late pick-ups may result in additional fees or suspension of enrollment privileges.

VIP Packages: VIP Packages are not exempt from late pick-up fees.

Payment Policy

  • Full payment is required at the time of booking to confirm registration.

  • Refund requests due to personal reasons are subject to a $35 cancellation fee per person, per transaction.

  • Late registrations may be accepted based on availability and may not be eligible for make-ups.

  • All fees are listed in Canadian Dollars (CAD).

  • Accepted payment methods include Credit Cards, Cheques, E-Transfers, WeChat, Alipay and Cash.

  • Returned or declined payments may result in additional administrative fees.

VIP Packages: VIP Packages follow the same Payment Policy unless otherwise stated in the VIP agreement.

Snack Policy

  • While there is no scheduled snack time, parents/guardians may send healthy, nut-free snacks and a water bottle with their child.

  • All snacks must be strictly NUT-FREE to protect children with allergies.

  • MandoKids is not responsible for food-related allergic reactions if policy guidelines are not followed.

Illness Policy

To ensure the health and safety of all children and staff, children must stay home if they display any of the following symptoms:

  • Fever

  • Infected eyes or skin

  • Contagious illnesses

  • Unexplained diarrhea or vomiting

  • Acute cold or flu-like symptoms

If a child becomes ill during class, parents/guardians will be contacted for immediate pick-up. No refunds or credits will be issued for illness-related absences unless otherwise stated in the medical exception policy.

Acknowledgement

By registering for any MandoKids program, including VIP Packages, families acknowledge that they have read, understood, and agreed to all policies outlined above.
